Located in the company's Dubai office you will be reporting to Senior Lawyers
The purpose of the role is to provide receptions duties and administrative support to the management and legal staff as required helping them complete their responsibilities in a more effective manner
Primary responsibilities:
Open, date, and sort incoming mail
Greet office visitors and respond to their needs
Answers and transfers all phone ca
Sets up new files both hard copies and soft copies on server.
Open new file invoice, with court letter correspondence for LC invoices lawyer does files
Keeps a spreads of all new files on shared drives (entering new files, closing files, updates) and updates it accordingly for an easy reference and rapid retrieval of information. Noting File No, Case No, Cessation No, Informant of appeal, Case type, Client Name
Follows up on email responses
Files incoming emails in inbox
Scan and send documents as needed to exterior clients and save them on server.
Was spending up to two hours renaming old files in English and continues to do so for lawyers on daily basis and do not specify what documents are
Managing Partner and General Managers personal tasks set up management?s appointments.
Print memorandums for and some correspondences
Communications for office
Responsible for Aramex Courier account and updating of excel shipping log and files airwave bills
Prepares correspondence in English
Co ordinate IT Issue with contracting company- twice a month
Maintaining the filing system
Maintain confidentiality of the Legal Department
